1. Only permanent employees who have successfully completed their probationary period by the closing date of the application phase are eligible to apply for the PHA Exchange Scheme.
  2. Employees who have resigned or whose employment is terminated for any reason will not be eligible to apply for or participate in the PHA Exchange Scheme.
  3. There will be two exchange schemes in a calendar year, one in Spring / Summer and the second in Autumn / Winter. The duration of the exchange will be for 7 days.
  4. The dates for the second exchange scheme are Monday 2nd December to Sunday 8th December 2019
  5. Applications for the December 2019 exchange scheme will open on Wednesday 7th August 2019 and close at 5.30pm on Friday 6th September 2019.
  6. There will be four places available on each exchange scheme.
  7. Employees who have previously participated in the PHA Exchange Scheme will not be eligible to reapply for 12 months following the date of their exchange trip.
  8. Employees wishing to apply for the scheme will be required to complete an application form and submit it to the PHA Exchange Scheme team via email, by a publicly shared deadline. Applications submitted after the deadline will not be considered.
  9. The PHA Group will cover the following costs related to the exchange scheme:
    • return economy class flights from London to New York;
    • ESTA Visa;
    • travel insurance;
    • accommodation in New York for the duration of the exchange;
    • a pre-agreed budget for transfers to and from the airport in London and New York;
    • a pre-agreed daily budget to cover subsistence for the duration of the exchange scheme
    • a pre-agreed daily budget to cover public transport travel in New York for the duration of the
    • exchange scheme; and
    • call and data charges utilised on company devices including laptops and mobile phones.
  10. Employees who miss their booked flights for any reason other than unforeseeable circumstances will be responsible for all associated costs in rearranging transport (including any accommodation requirements).
  11. Employees participating in the scheme will commit to sharing their experiences of the PHA Exchange Scheme through social media, blog posts and a presentation to all PHA staff following the exchange.
  12. Employees participating in the exchange scheme are expected to represent PHA professionally at all times and to conduct themselves accordingly.
  13. Employees who have participated in the PHA Exchange Scheme will be required to reimburse The PHA Group for flight and accommodation costs incurred if they resign or if their employment is terminated for any reason within 6 months of participation in the scheme. The PHA Group reserves the right to deduct these monies from the Employee’s salary via payroll and any remaining unpaid balance will be due and recoverable from the Employee immediately upon termination of employment.
  14. The PHA Group reserve the right to amend or alter the terms of the PHA Exchange Scheme at any time.
  15. The decision of the senior management team on the selection of participants in the PHA Exchange Scheme is final and no correspondence will be entered over this decision.
